The 2009 AGM to review 2008 was held on Monday the 20th April at 7:30pm at the Llantwit Major Rugby Club.
While all members were encouraged to attend if at all possible the turn out was disappointingly low. The minutes are posted here.

The Chariman gave an overview of the club from the time of the EGM until now. He has secured a grant of £800 to purchase equipment to set up full Adult beginners training courses and the equipment has been ordered and is expected shortly. There is also a possibility to procure more equipment - specifically butts from St Athan and this will ensure we have a full set of targets available at all our shoot locations.
The General Secretary gave an overview of items of interest from the EGM to date. The club has taken ownership of Fonmon course from the WFAA. Work has been carried out to restructure the course and currently limit it to a 14 target course to reduce the management overhead initially while we get the South end into a good state. The course required some targets to be changed and the work to do this was seen to require a digital tape measure - the club procured this and intends to rent it out to other clubs with courses to help offset and recover some of the capital outlay.
The club will shortly have a club shirt and patches available, the overall decision was to go with a Burgandy Polo shirt with the logo embroidered on the left and the archers name underneath. Once available the web site will host a form to enable archers to order shirts and patches.
The Treasurer gave a report on the clubs financial health. So long as all members continue to pay the monthly fees we can retain the Monday and the Friday sessions. Overall at the moment the club is covering its cost but not making any real additional revenue, this is to be carefully monitored ongoing. It is not the intention of the club to make money but we must ensure we cover all costs and have a buffer to meet unexpected costs should any arise. The revenue from the tournaments to be held at Fonmon will boost our finances and the funds from the Handicap shoots should allow us to have a end of year prize for both the Handicap and the 'scratch' score winners
The committee sought and received approval to create and publish a Constitution, a Rule Book and a Code of Conduct statement that will be part of the membership pack. The constitution is an urgent requirement to cover off any non conformance issues in light of any tax liability the club may have.
The committee asked members to consider any suggestions they may have for club activities and shoots that they may wish to participate in, please communicate any ideas to any committee member
Club meetings were confirmed going forward as - Summer season dates and restrictions will be on the diary page
Monday - Rugby Club - 6:30 to 7:30 Junior beginners and improvers 7:30 to 9:00 adult beginners and adult general.
Friday - Llantwit Leisure Centre - 7:00 to 9:00 Adult and approved juniors shoot
Saturday - Llantwit Guides Hut - 10:00 to 12:00 Junior improvers drop in shoot
A discussion around communications was held and it was agreed that a monthly hardcopy newsletter will be created and posted to members.
No further actions or items were discussed, the committee welcomed the new members with special thanks to Gethyn for standing to represent the Juniors in the club and the committee then thanked the members who attended and the meeting was closed. |
